The intern will have the opportunity to learn and support the overall work of the Sector’s mission. He/she will assist in coordination, liaison, information, and communication tasks and will undertake the following tasks:

  • Prepare preliminary draft notes, memoranda, letters and /or other Sector’s proposals for submission to member States, Programmes Sectors,and potential public and private partners.
  • Assist in researching and analyzing information provision to briefings for bilateral meetings.
  • Provide assistance in coordinating the Sector’s contributions to Statutory meetings (General conference, Executive Board), and drafting of reports.
  • Assist in dealing with a wide range of issues of the PAX sector, by providing timely, accurate and specific information in response to queries, thus contributing to maintaining close working relationships with the Delegations, Programme Sectors and Central services, Field Offices, partners and other stakeholders.
  • Assist in the organization of meetings, events and provide technical support to ensure success of the work team.
  • Update PAX Website on Intranet, notably on information in relations with Member States, UNESCO events, publication etc.
  • Undertake any other tasks which may be assigned by the Supervisor.
  • Support the Court-wide learning needs analysis process;
  • Assist with drafting the Court’s Learning Plan by researching and developing course outlines, forecasting costs, developing stakeholder maps, and producing a work breakdown structure of milestones for the budget year;
  • Assist with training coordination by working with managers and trainers to schedule training and development opportunities, organise venues, and develop course materials;
  • Support the L&D team on financial administration, training budget analysis and training procurement activities
  • Support training evaluation by conducting surveys and post training following up with managers to assess impact in team performance;
  • Help with researching, analysing and proposing new ideas to improve current practices (e.g. redesign of the onboarding day, Learning Plan).
  • Assist with administering the Court's learning and development programmes e.g. Mentoring, onboarding and language programmes as well as learning management systems;
  • Contribute to the L&D project management by conducting research, analysis and development/production work.

 Internal Communication

  • Provide support with organising and implementing communications designed to support key projects and initiatives, including drafting, editing, proofreading, and layout of content (e.g. newsletters, meetings, events);
  • Assist with, providing regular (written and/or verbal) updates to ensure that organizational initiatives and projects are successfully communicated to staff members and stakeholders;
  • Assist with developing compelling and engaging editorial, multimedia and digital content to be disseminated across multiple talent outreach channels, such as websites, social media, newsletters, in partnership with the relevant stakeholders;
  • Working closely with relevant communication colleagues across the organization to ensure alignment with the organizational brand;
  • Supporting the preparation and development of guidelines, documents, trainings, workshops, webinars, learning materials, case studies, events, best practices and guides to build organizational internal communication;
  • Provide support with inputs on performance indicators and monitor progress towards capacity building outcomes and impacts.

 

 

Under the authority of the Cabinet Coordination Officer, and under the supervision of one of the Director-General’s advisors, the intern will assist the Advisor in preparing files on subjects related to the fields of competency of UNESCO (education, science, culture, social and human sciences and communication). 

During the internship, the intern will be called on to: Assist the Advisor in preparing notes and opinions on administrative, political and communications issues related to the activities and fields of competency of UNESCO. 

In addition, interns in the Speechwriting Pool (Pôle Langage) will help prepare elements for various interventions by the Director-General (in French and in English). They will help write speeches, talking points, messages, editorials, articles and forewords. They will also carry out documentary research with a view to preparing speeches or official visits by the Director-General. Under the supervision of the Head of the Pôle Langage, they will also revise correspondence to be signed by the Director-General. 

  • Carrying out circulation tasks (borrowing, renewing and reserving items, registering and checking out users)
  • Answering email, telephone and in person enquiries including processing inter-library loan requests, locating online journal articles and responding to reference queries
  • Helping library patrons conduct print and electronic bibliographic research, including online databases
  • Recording library statistics
  • Shelving, labelling and processing publications as necessary
  • Opening and closing the Library
  • Support cataloguing and classification workflows, including archiving of digital objects  
  • Contribute to library projects, for example:
    • Creation of library guides
    • Development and updating of the intranet/internet
    • Delivery of training
  • Assist the Archives and Legacy team as required with the appraisal and description of materials.

 

The Intern will have the opportunity to learn and support the overall work of the Sector’s mission. Activities will vary depending on the requirements of the assignment. Specific Terms of Reference and learning objectives will form part of the contract. The work entrusted to interns falls under one or more of the following categories as per the requirements/needs of each team.

 

Programme and Project Support:

  • Collect, organize and analyze data
  • Contribute to the production/preparation of documents, working papers, and conceptual framework/concept notes
  • Assist in the development of technical support in the development of new interventions or projects.

Research and Knowledge Management:

  • Undertake specific research and reviews to produce well defined aspects or segments of work products, including publications, documents and project proposals.
  • Contribute to the preparation of knowledge and communication products, materials for advocacy and outreach, related to area of work.
  • Participate in meetings and seminars.

Partnerships and Stakeholder Engagement:

  • Analyze and compile background data for potential partnerships and resource mobilisation initiatives.
  • Support engagement of stakeholders and partners in IOC activities e.g. through the Ocean Decade Network
  • Support to facilitation of scientific and non-scientific working groups and partner networks

Operations Support:

  • Provide administrative and logistical support in the planning and organization of meetings, events, workshops, and conferences in coordination with other staff.
  • Support the preparation of specific budgets, financial and accounting documents, and project documentation and evaluation.
  • Support the management of data and contacts related to the Ocean Decade and the ecosystem of endorsed Ocean Decade Actions.
  • Support processing of requests for endorsement of Decade Actions.

Communications Support:

  • Support to drafting, preparation and dissemination of communications assets.
