Assist the Trust Fund for Victims with the following tasks, under the supervision and overall coordination of the Legal Adviser:
- Support reparations processes through data-entry;
- Assist in data management, database creation and maintenance;
- Assist in case management and data entry on reparations beneficiaries;
- Assist in the preparation of submissions before the Court by compiling data;
- Assist and support in the organisation and conduct of various meetings;
- Other tasks as needed.
Under the supervision of the External Relations Adviser, the incumbent will assist the External Relations team to perform tasks in the area of external relations, political affairs, research, drafting, analysis, corrsepondence and compilation of materials, as well as supporting organisation of meetings. Core duties and responsibilities will include:
- Assisting in preparation of briefing notes, talking points, speeches and other materials for diplomatic meetings and other engagements of the Prosecutor and senior members of the Office, by formulating written output – in line with existing templates and drafts;
- Conducting online research and assist in compiling relevant documentation in support of bilateral meetings, visits and meetings by senior management of the Office;
- Drafting officials letters and correspondence, taking minutes and preparing summaries of relevant meetings, including meetings of the Assembly of States Parties and its subsidiary bodies such as The Hague Working Group and Study Group on Governance;
- Participating with team members in relevant internal meetings, such as those of the ICC External Relations Working Group;
- Assisting in preparation and organisation of events and meetings, including visits to the Court intended for the Office of the Prosecutor;
- Support organisation of thematic roundtable events, including with participation of civil society organisations, by providing administrative support and follow-up;
- Assisting in drafting of reports, papers, and other written documentation and information products;
- Conducting other background / independent research on topics of relevance for general cooperation and external relations;
- Working with the External Affairs Unit Sharepoint page, updating, compiling and uploading relevant documents as required to ensure continuity of record-keeping.
- Performing any other duties as required.
Within the Finance Section and under the overall supervision of the Heads of the Disbursements Unit and/or Accounts and Treasury Unit, the intern will perform the following duties:
- Scan invoices and credit notes received physically;
- Check “Disbursements” and “Invoice Management” Outlook mailboxes. Identify invoices and credit notes received electronically;
- Upload all electronic invoices and credit notes in e-Invoice Management System (e-IMS);
- Identify in ERP system (SAP) the Cost Center of the Section an invoice or credit note belongs to, to place it accurately in RM folder;
- Support in reassigning RM record of individual invoices and credit notes to respective Section’s RM folders for their action and/or information;
- Assist in processing payment vouchers of fees of Individual contractors and Consultants, and of Defence and Victims legal teams;
- Assist in processing payment vouchers for reimbursement to (Non)staff members;
- Replace visiting professional (VP) during his/her absences;
- Assist on ad-hoc tasks for the two Units including:
- Research and updating of contact details for embassies and permanent missions.
- Updating electronic correspondence records for State Party communications.
- Assisting with reconciliations and other financial verification tasks.

- Assisting with the core administrative tasks associated with vetting
- Completing open-source research/analysis/investigations
- Assisting with the risk assessment processes associated with vetting
- Communication with candidates and external agents as required.
- In addition, the incumbent will assist the Personnel Security Officer with developing new strategies aimed at improving efficiencies in the vetting process or other project work as required.
