As the Internal Communications Trainee you will be supporting the implementation of internal communications plans with a focus on HR topics. Your responsibilities:

  • Coordinate and plan the HR communications editorial calendar in line with the organisation’s editorial calendar
  • Support the coordination and production of internal communications for IOC employees with a strong focus on HR communication (HR operations, inclusion & diversity, performance management, health at work, learning & development, etc.):
    • Content: write and edit articles or other types of documents (FAQ, information notes, etc.), liaise with languages services for the translation and proofreading, coordinate internal videos or photos production with the Images services. Draft and design emails to IOC employees about HR topics in a Customer Relationship Management system (CRM).
    • Events (breakfast & learn sessions, webinars, etc.): send invitations, liaise with the Events Teams regarding the logistics, support content production.
    • Internal campaigns: contribute to their development and implementation across all channels.
  • Monitor the impact of the communications
    • Document the achieved results (number of views, unique viewers for articles, number of participants for events, qualitative feedback, etc.).
    • Analyse the achieved results and share recommendation for future actions.
  • Participate actively in the weekly meetings of the internal communications working group and the human resources teams
    • Support other internal communications projects when required.
    • Liaise with other departments to stay updated on new internal initiatives, product & service developments, and to ensure brand consistency.

The OSCE Secretariat is looking for qualified candidates to carry out internships for 2-6 month periods in both administrative and programmatic areas. To give you an idea of what kinds of assignments you can expect, we have listed some typical day-to-day duties which interns perform in our different departments:    

  • Drafting research papers, policy reports, concept papers, and other written materials such as briefing papers/memos/talking points/speeches/documents/newsletters/presentations;
  • Assisting in project management and implementation such as the preparation of project proposals/budgets, and compiling project progress reports for donors;
  • Conducting thematic research, assisting with the revision legal documents and with the preparation of legal opinions, assisting with media monitoring, or conducting surveys and/or financial analyses;
  • Supporting communication-related events/outreach activities such as website updates, putting together booklets and leaflets and creating audio-visual content for social media;
  • Supporting the organization of events, meetings, regional workshops, press conferences, round-tables and other conferences;
  • Attending meetings of the OSCE decision-making and OSCE-related bodies, taking minutes, drafting official records and writing reports;
  • Supporting daily operational work in our administrative departments such as human resources, financial services, supply chain/travel management/procurement activities, information and communication technology;
  • Assisting senior managers in preparing for trips, bi-lateral meetings and country visits by compiling background documents, dealing with logistic arrangements and communicating with a range of OSCE internal and external stakeholders.

In ESO's Department of Communication you will work with a team of professional science communicators for the preparation of ESO news and press releases, publications, web pages, video scripts, exhibition panels and other public communication products.

The internship is located in the Joint Inspection Unit (JIU) at the United Nations Office in Geneva (UNOG). The JIU is the only independent external oversight body of the United Nations system, mandated to conduct system-side evaluations, inspections and investigations. Its role is to enhance management and administrative efficiency and promote greater coordination among UN agencies, as well as with other internal and external oversight bodies. In its reviews, the Unit identifies best practices, proposes benchmarks, and facilitates information-sharing across its participating organizations that have adopted its Statute, which are currently 28 organizations of the UN System. Review teams are composed by Inspector(s), Evaluation and Inspection Officer(s), and a Research Assistant.

The purpose of the interns at the JIU is to assist the review teams and fulfill ad hoc demands of the Unit. The internship provides an opportunity for interns to gain hands-on experience in the field of oversight and evaluation at the UN. Outputs and specific work assignments will be discussed and agreed with every candidate during the interview.

  • Participate in the preparation and review project documents. Draft notes and prepare technical annexes.

Partnerships:

  • Analyze and compile background data for potential partnerships and fundraising events and opportunities. Arrange briefings, visits, tours, meetings and other related activities to support collaborative activities.

Operations Support:

  • Provide administrative and logistical support in the planning and organization of meetings, events, workshops, and conferences in coordination with other staff.
