During the internship, the Intern will have the opportunity to learn and support the overall work of the Sector’s mission within the framework of the activities and projects of the different Divisions and will be called on to (not exhaustive):
- Participate in the preparation and review of project documents. Draft notes and prepare technical annexes.
- Contribute to the elaboration of briefing notes, progress reports and other relevant documents, through support in researching and collecting data for specific purposes.
- Support in the contribution to the Sector’s communication and visibility exercises through the updating of the relevant webpage, when required, the design and dissemination of communication material to improve visibility and mobilization of resources.
- Analyze and compile background data for potential partnerships and fundraising events and opportunities, as well as taking notes in stakeholders’ meetings.
- Provide administrative and logistical support in the planning and organization of events/meetings, workshops, and conferences in coordination with other staff.
- Support the preparation of specific budgets, financial and accounting documents, and project evaluation.
- Contribute to related area of work activities and tasks as may be required by the supervisor.
The International Criminal Court has a project to migrate contents from repositories to modern SharePoint environments. As project is ongoing, we are currently looking for an individual who can work in the Information Management Office (IMO). The IMO is a team within the Information Management Unit (IMU) of the Information Management Services Section (IMSS) that focuses on delivering timely and efficient Information Management services to support the Court's activities. Its objectives include managing Records and Document management applications and ensuring best practices. The IMO is responsible for maintaining and improving document management and governance processes and managing various strategic projects, including content migration and Information Management infrastructure.
Assist the Information Management Office (IMO) to:
- Support in updating project documents such as project plan, issues list, risk register, etc.;
- Assist in the coordination with relevant stakeholders where actions are required and help ensure that tasks are completed on time;
- Test the new system
- Organise and participate in project meetings;
- Draft meeting minutes and project communications;
- Support change management initiatives such as coordination of training to end users;
- Any other duties as assigned by the supervisor.
The work entrusted to interns falls under one or more of the following categories as per the requirements/needs of each team.
Programme and Project Support:
- Participate in the preparation and review project documents. Draft notes and prepare technical annexes.
- Prepare conceptual framework / concept notes on new areas of work or development challenges.
- Collect, organize and analyze data.
- Contribute to the production/preparation of documents, working papers, and conceptual framework/concept notes on area of work or development challenges.
- Assist in the development of technical support of new interventions or projects.
Research and Knowledge Management:
- Undertake specific research and reviews to produce well defined aspects or segments of work products, including publications, documents and project proposals.
- Contribute to the preparation of knowledge and communication products, materials for advocacy and outreach, related to area of work.
- Participate in meetings and seminars.
Partnerships:
- Analyse and compile background data for potential partnerships and fundraising events and opportunities. Arrange briefings, visits, tours, meetings and other related activities to support collaborative activities.
- Liaise and build networks with officials in national administrations, researchers, other international organisations and member country Delegations.
Operations Support:
- Provide administrative and logistical support in the planning and organization of meetings, events, workshops, and conferences in coordination with other staff.
- Support the preparation of specific budgets, financial and accounting documents, and project documentation and evaluation.
- Scan invoices and credit notes received physically;
- Check “Disbursements” and “Invoice Management” Outlook mailboxes. Identify invoices and credit notes received electronically;
- Upload all electronic invoices and credit notes in e-Invoice Management System (e-IMS);
- Identify in ERP system (SAP) the Cost Center of the Section an invoice or credit note belongs to, to place it accurately in RM folder;
- Support in reassigning RM record of individual invoices and credit notes to respective Section’s RM folders for their action and/or information;
- Assist in processing payment vouchers of fees of Individual contractors and Consultants, and of Defence and Victims legal teams;
- Assist in processing payment vouchers for reimbursement to (Non)staff members;
- Replace visiting professional (VP) during his/her absences;
- Assist on ad-hoc tasks for the two Units including:
- Research and updating of contact details for embassies and permanent missions.
- Updating electronic correspondence records for State Party communications.
- Assisting with reconciliations and other financial verification tasks.
Under the overall authority of the Director of the Bureau of Human Resources Management, and the direct supervision of the relevant Chief of Section, Head of Unit, or HR specialist, the intern will contribute to the work of the Bureau of Human Resources Management (HRM).
